Customer-Specific Minimum and Box Quantities

A product’s “Minimum quantity” and “Box Quantity / Multiples” normally apply to every customer. Rule overrides let you give specific customers or privacy groups their own values for a product. For example, a key account could order a product in cases of 6 while everyone else orders it in cases of 12. You could also remove the minimum order quantity for your distributors.

Enabling Rule Overrides

Step 1. Contact our support team to enable rule overrides for your account. Once enabled, a “Rule overrides” tab appears on each product’s “Editing product” page.

Step 2. If you want to override box quantities, go to the Settings >Profile menu, open the “Application configuration” tab, and check “Products can be ordered in multiples (eg 8, 16, 24)” in the “Product attributes” section. Box quantity overrides are not applied without this option. Minimum quantity overrides work either way.

Adding Rule Overrides to a Product

Step 1. Go to the Products >Products menu on your Admin Panel and select the product.

Step 2. On the “Editing product” page, go to the “Rule overrides” tab and click “+” to add a row.

Step 3. Fill in the fields of the new row:

Scope type Select “Customer” to set the rule for one customer, or “Privacy group” to set it for every customer in a privacy group
Scope For a customer, start typing the company name and pick the customer from the suggestions. For a privacy group, select the group from the drop-down menu
Rule type Select “Minimum quantity” to change the smallest quantity the customer can order, or “Box quantity” to change the multiples the customer must order in
Value Enter the quantity that replaces the product’s standard value for this customer or privacy group

Step 4. Add a row for each customer or privacy group, then click “Save” or “Save and stay on page.”

Each customer or privacy group can have one override of each rule type per product. To give the same customer both a minimum quantity and a box quantity override, add two rows. To delete an override, click the red “x” next to it and save.

Example

In the example below, Cofood & Co has set three overrides for Brazil Santos Espresso Beans:

  • Golden Harbor Coffee Inc. must order at least 6.
  • Customers in the “Customer Group 1” privacy group order in multiples of 6.
  • Customers in the “Customer Group 2” privacy group order in multiples of 12.

All other customers keep the minimum quantity and box quantity set on the “Product” tab.

NOTE: Enter 0 as the value to remove the restriction for that customer or privacy group. A minimum quantity of 0 means there is no minimum, and a box quantity of 0 means the customer can order any quantity.

Understanding Which Rule Applies to a Customer

B2B Wave checks each rule type separately for the customer placing the order:

  1. If the customer has their own override, that value applies.
  2. If not, and the customer belongs to one or more privacy groups with an override, the lowest value among those groups applies.
  3. Otherwise, the product’s standard value from the “Product” tab applies.

For example, a customer in both “Customer Group 1” and “Customer Group 2” orders Brazil Santos Espresso Beans in multiples of 6. Because each rule type is checked on its own, Golden Harbor Coffee Inc. gets its minimum quantity of 6 from its own override, while its box quantity still comes from its privacy groups, or from the product if no group has an override.

Understanding Where Rule Overrides Apply

Overrides are checked whenever a quantity is entered for the customer:

  • When the customer adds the product to their cart or quote, or changes its quantity. If the quantity is below their minimum or isn’t a valid multiple, they see the same message as with the product’s standard rules, showing their own values.
  • When an order or quote is created or edited on the customer’s behalf from the Admin Panel.
  • In standing orders, whether the customer sets them up or you set them up from the Standing Orders menu on your Admin Panel.
  • When you import orders. Lines below the customer’s minimum quantity are flagged.

Importing and Exporting Rule Overrides

Once rule overrides are enabled, your product export file includes four extra columns. You can use the same columns to import overrides in bulk:

minimum_quantity_customer_overrides Minimum quantity overrides for specific customers
minimum_quantity_privacy_group_overrides Minimum quantity overrides for privacy groups
box_quantity_customer_overrides Box quantity overrides for specific customers
box_quantity_privacy_group_overrides Box quantity overrides for privacy groups
Formatting the Columns

Each cell lists overrides as name|value, separated by a semicolon (;). For example, enter Customer Group 1|6; Customer Group 2|12 in the “box_quantity_privacy_group_overrides” column. Name a customer by their company name, email, or reference code, and a privacy group by its name.

How Each Cell Is Imported

  • Blank cell: The product’s existing overrides in that column stay as they are.
  • A list of overrides: The listed overrides are added or updated, and any other overrides in that column are removed from the product.
  • -: All overrides in that column are removed from the product.
  • name|-: Only that customer’s or privacy group’s override is removed (e.g., Golden Harbor Coffee Inc.|-).

NOTE: A customer or privacy group that can’t be found is skipped and reported as an error in the import results. If no entry in a cell can be found, the product’s existing overrides in that column are kept, so a typo won’t wipe them. If two customers share a company name, use their email or reference code instead.
